RB Active Care staff aim to make your child's experience a memorable one.

Any questions you may have should be answered in the relevant Parents Guides that you receive when making a booking. However, we understand that you may have a few queries before you make a booking.

The following information will provide you with everything you should wish to know about the RB Active Care provision at all our venues.

How do I book my sessions?
 

Subject to individual settings we offer two ways of booking:
 

Contract Booking
 

Annual Contracts are ideal if you require the same days or sessions every week and want to secure your child’s place. Invoices are sent on a monthly basis and are charged in advance of your childcare provision.

Add Hock (Subject to each setting)

 

Add Hock sessions are suitable for working parents that work shift or irregular work patterns. These sessions allow you to book as and when you need childcare. Add hock sessions are subject to availability and require parents to log into the booking system each time you wish to book a session.

 

Can I do a combination of contract and Add Hock sessions?


Yes, many parents have a contract as this offers consistency and secures your child’s provision, but often book add hock sessions for additional days they need.

 

When will I receive my invoice if I have a contract?
 

Invoices are automatically sent on or around the 16th of each month.

 
 

When do I need to pay my invoice for my contract?

 

Payment needs to be made by the 26th of each month or at the latest before the 1st of the following month.

What happens if I am late paying my invoice?


If we have not received your payment into our account before the 1st of the month then we will apply late fee charges in line with our terms and conditions.

 
 

If I have a contract booking can I change one of my days or sessions as a one off?
 

Unfortunately, we are not able to change contract sessions, however you can book additional add hock sessions subject to availability.

Do I have to pay for add hock sessions at the time of booking?
 

Yes, all add hock sessions must be paid at the time of booking.

 
 

I use childcare vouchers to pay how will this work for add hock sessions?


If using childcare vouchers to pay for add hock sessions, then we require the payment within 7 days. If we have not received payment within this time frame, we will cancel any future sessions until payment has been made.

 

How far in advance can I book add hock sessions?


You can book on the same day up to a half term in advance. All sessions booked need to be paid for at the time of booking.

 

What happens if I no longer need a session I have booked?


Unfortunately, once you have booked a session, we would not be able to refund or credit the session.

 

Do you offer sibling discount?


Currently we do not offer sibling discounts

 
 

Do you receive a discount the more session you book?

 

Yes! We appreciate that childcare is expensive and believe we offer a cost-effective solution for working parents. If 5 full after school clubs are booked in the same week then you receive 10% discount.

My child attends a sports club after school, what happens after he has finished?
 

Many of our children attend sports clubs after school prior to coming to Active Care. We collect any children once finished at the sports club and bring them to Active Care.

 

If my child attends a sports after-school club do I still need to pay for Active Care?


Yes, to secure your child’s place at active care then payment must still be made.

Do you run childcare during the School Holidays?


Yes! Holiday provision is provided by RB Sports Activities for children aged 4-12 years old. All our Holiday Camps are OFSTED registered which means you have the benefit of using childcare vouchers to pay for the provision.
Please note 4-year olds can only stay for half days during holiday camps

Policies

 

Copies of the full policies are kept at RB Active Care and are available at the venue for parents to consult at all times.

Induction

You and your child are welcome to visit the site and the staff at RB Active Care before your child's first day to familiarise yourselves with the setting and to help your child settle in. During your child's first session time will be set aside for an induction. The induction will include running through RB Active Carerules and routines (including meal times, collection, children's meetings), and introducing your child to the staff and other children. Another child will usually be allocated to act as your child's buddy for the first few sessions. You can request our Child Induction Policy for more details.

 

Arrivals and Departures

Parents/careers must sign their child/ren into RB Active Care for breakfast club, RB Active Care staff collect children from school and escort them to the Club. A register is taken when children arrive in our care, and you must sign your child out at the end of each day when you collect them. We expect that your child will normally be collected by the person(s) you have named on the registration form. If you need a different person to collect your child on a particular day, you must notify us in advance. We will not release your child into the care of a person unknown to us without your authorisation. You can request our Arrivals and Departures Policy for more details.

RB Active Care finishes at 6:00pm, if you are delayed for any reason please telephone RB Active Care to let us know. A late payment fee of £10.00 per 15 minutes will be charged if you collect your child after RB Active Care has closed or your booked session time has ended. You may also be asked to make a contribution towards any extra staff wages and transport costs incurred. If your child remains uncollected after 6:30pm [i.e. 30 minutes after we close] and you have not warned us that you will be delayed, and we have been unable to reach you or any of your emergency contacts, we will follow our Uncollected Children Policy and contact the Social Care team.

 

Absence Policy

Booked sessions are to be paid for in advance. Parents must inform RB Active Care if a child is not attending for any reason, Parents must telephone the Manager on the Club Mobile number. Fees will not be refunded for non-attendance. Please inform us if your child is absent morning or afternoon. If your child does not arrive after school, the following procedure will be put in place, if you know they are absent or elsewhere, this will save a great deal of time, effort and concern. In the event of a child being listed on the register for After-school Club but not arriving and the club not having been informed, the manager of RB Active Care will need to:

  • Visually check whether the child is attending another activity club before arriving in RB Active Care.

  • Check if RB Active Care staff have been informed of the child's non-attendance or if there has been a message given to the host school or by the child's parents/guardians and then the child can be marked as not attending.

  • Check the child's classroom and school reception and any other relevant areas.

  • Call the child's Parents to inform them that the child has not arrived at RB Active Care and that we have not been informed.

 

Child protection

We are committed to building a 'culture of safety' in which the children in our care are protected from abuse and harm. We comply with local and national child protection procedures and ensure that all staff are appropriately trained. You can request our Safeguarding Policy for more details.

Special Needs

RB Active Care makes every effort to accommodate and welcome any child with special needs. We will work in liaison with parents or carers and relevant professionals to fully understand your child’s specific requirements. We will endeavour to accommodate all children of all abilities, whilst working within the limitations of RB Active Care. Each case will be considered individually and risk-assessed to ensure everyone's safety. Our staff training programme includes specific elements relating to children with special needs. GENERAL INFORMATION

 

Behaviour (Children)

RB Active Care will not tolerate from any person, whether a parent, carer or visitor: bullying; aggressive, confrontational or threatening behaviour; or behaviour intended to result in conflict. RB Active Care is a place of safety and security for the children who attend and the staff who work there, and we reserve the right to ban anyone exhibiting inappropriate behaviour from our premises. Illness

We are unable to care for children who are unwell. If your child becomes unwell whilst at RB Active Carewe will contact you and ask you to make arrangements for them to be collected. Please inform the Manager of any infectious illness your child contracts. If your child has had sickness or diarrhoea please do not send him or her to RB Active Care for 48 hours after the illness has ceased. Accidents and First Aid

RB Active Care take every precaution to ensure the safety of your children at all times. RB Active Care is fully insured. Our staff are trained in Paediatric first aid and a first aid kit is kept on the premises. If your child has an accident whilst in our care, you will be informed when you collect your child. Medication

Please inform the Manager if your child is taking prescribed medicine. If your child needs to take medicine whilst at RB Active Care you will need to complete a Permission to administer medication form in advance. You can request our Administering Medication Policy for more details.

Complaints Procedure

If you have any queries, comments or need to discuss any matters concerning your child, please feel free to speak to your child’s key person, the Manager, or any other member of staff. Verbal complaints will be dealt with as swiftly as possible at the relevant level and passed on to the Director if necessary. All written complaints will be acknowledged within five working days of receipt and a full written response will be given within 28 days.
